Phoenix Flight Studio ("Phoenix Flight" or the "Studio") offers a branded mobile application supported by Pole Studio Manager, LLC ("Pole Studio Manager" or "PSM"). This Privacy Policy explains how information is collected, used, shared, retained, and protected when you use the Phoenix Flight Studio mobile application and its connected studio-management services.

Who is responsible for your information

Phoenix Flight generally decides what information it requests from students, customers, guardians, and staff and how that information is used for studio operations. PSM provides the software, hosting, security, support, and related data processing needed to operate the mobile app and connected services.

Privacy requests concerning a Phoenix Flight account should normally be directed to the Studio first. PSM may assist the Studio with access, correction, export, or deletion where appropriate.

Information we collect or process

• Account and contact information: names, usernames, passwords, email addresses, phone numbers, mailing addresses, and other contact details.
• Student, family, and profile information: guardian and student names, birthdates, family relationships, profile details, photos, custom fields, notes, and information submitted during registration or account management.
• Studio operations: classes, schedules, attendance, registrations, private lessons, waivers, agreements, purchases, orders, account balances, charges, and payment history.
• Billing and payment information: transaction records and limited payment-method metadata such as processor tokens, payment profile identifiers, card type, last four digits, and expiration information. Full payment-card numbers and security codes are handled by payment processors and are not intended to be stored on PSM servers.
• Communications and notifications: email addresses, phone numbers, message history, notification preferences, and push-notification subscription identifiers.
• Technical and security information: IP addresses, login activity, device or browser details, service logs, session data, crash information, and other diagnostics used to operate and protect the service.
• Support information: information included in support requests, emails, forms, screenshots, attachments, or troubleshooting communications.

How information is used

• Provide account access and operate the Phoenix Flight Studio mobile app.
• Manage registrations, schedules, attendance, classes, private lessons, purchases, billing, and payments.
• Send confirmations, reminders, studio announcements, and other operational communications.
• Provide customer support and troubleshoot problems.
• Monitor security, prevent misuse or fraud, maintain backups, and improve reliability.
• Comply with legal obligations, resolve disputes, and enforce applicable agreements.

How information is shared

Information may be shared as needed with Phoenix Flight and its authorized staff; PSM and personnel who operate or support the service; hosting, backup, email, notification, analytics, security, and payment providers; professional advisers; and legal authorities when required or appropriate. Data retention and deletion

Phoenix Flight and PSM retain personal information only for as long as reasonably necessary to provide the app and studio services, maintain legitimate studio and business records, complete transactions, resolve disputes, protect security, comply with legal obligations, and support backup and disaster-recovery operations.

Account, student, family, registration, scheduling, and attendance information may be retained while an account remains active and afterward when needed for the Studio's operational, contractual, safety, or legal purposes. Billing, payment, waiver, agreement, and transaction records may be retained longer when required for accounting, tax, dispute, fraud-prevention, or other legal purposes. Technical logs, device identifiers, and notification tokens are retained only as long as reasonably necessary for delivery, diagnostics, security, and service operation.

You may request access to, correction of, or deletion of personal information by contacting Phoenix Flight using the information below. After a verified request, eligible information will be deleted or anonymized from active systems unless retention is required or permitted for a legitimate legal, security, accounting, contractual, or dispute-related reason. Copies may remain temporarily in backups or recovery systems until those systems rotate or are replaced in the ordinary course of business.

Children's information

The Studio may serve minors. Information about a minor should be submitted by a parent, guardian, authorized studio employee, or another responsible adult. Parents and guardians may contact the Studio to request access to, correction of, or deletion of a child's information, subject to applicable requirements and legitimate exceptions.

Security

Phoenix Flight and PSM use administrative, technical, and physical safeguards designed to protect personal information, including access controls, secure connections, backups, monitoring, and restricted access for people who need the information to operate or support the service. No internet-based system can be guaranteed to be completely secure.

Your choices and requests

Depending on your location, you may have rights to request access, correction, deletion, restriction, or export of personal information. You may also manage available notification settings on your device. Contact the Studio first for requests involving a Phoenix Flight account.

Changes to this policy
